Dear Classroom Central Volunteer,

Thank you for your commitment to helping our teachers and students succeed. We’re excited to have you with us! While we may be back and operating, things are far from normal. This page outlines our new program plan as well as protocols designed to keep us all safe. Please review these carefully in advance of your visit to Classroom Central and contact us with any questions you have. We can’t wait to see you again!

Best regards,

Karen Calder, Executive Director

Programs

Through at minimum December 31, 2020, Classroom Central will conduct its service to educators primarily through online ordering and curbside pickup. Volunteer roles include packing orders and managing the drive-through contactless pick-up process. In addition, volunteers will be sorting and counting school supplies and other tasks as need arrives.

Volunteer Safety Requirements

For your safety and to align with current NC guidelines, no more than thirteen (13) volunteers will be able to work inside of the building at any given time. Before arriving for a shift, volunteers must self-screen for temperature and other symptoms related to COVID-19. If at any time a volunteer is experiencing symptoms—even if thought to be due to something unrelated to COVID-19 such as allergies or the common cold—they must postpone their volunteer shift until 14 days after symptoms have passed. Symptoms include but may not be limited to temperature over 100.4 degrees, cough, shortness of breath and loss of taste and smell. If a volunteer has traveled to a known COVID-19 hotspot, they will be asked to self-quarantine for 14 days before working at Classroom Central. If a volunteer begins to experience symptoms during their shift, they will be asked to leave immediately and not return until 14 days after symptoms have passed or until cleared by a health care professional. Any volunteer that is thought to have been exposed to someone who has symptoms (but unknown if they have been exposed to someone who has tested positive) and/or who has been tested positive for COVID-19 will not be allowed to volunteer onsite for 14 days after the exposure. Any volunteer who themselves tests positive for COVID-19, whether or not symptomatic, must contact the Volunteer Coordinator who will coordinate accordingly with the Executive Director. Under no circumstances should a volunteer who has tested positive for COVID-19 within 14 days of their shift enter the Classroom Central building. The guidance from the CDC and other government agencies is constantly updating. Classroom Central will continue to monitor that guidance and update our plans and processes as necessary.

While at Classroom Central, all volunteers must wear masks and adhere to social distancing. If packing supply orders for teachers and/or students, volunteers must wear gloves. Masks and gloves will be provided for all volunteers that arrive without them. Prior to beginning your shift,

you must complete and sign an acknowledgement waiver. Those refusing to adhere to the safety protocols and/or sign the waiver will not be allowed to participate.

Volunteers that are commuting to Classroom Central by way of public transportation or ride share services must avoid traveling on overcrowded vehicles, wear face masks and maintain safe distances from other passengers and use hand sanitizer before entering the facility.

Upon arrival, volunteers must check in with either the Volunteer Coordinator or Program Coordinator-Free Store who will sign you into Volunteer Hub. Volunteers are discouraged from bringing personal belongings such as coats and bags into the building. For those needing to bring personal items inside, lockers will be provided. Volunteers wanting to secure items, must bring their own locks. Prior to the start of the volunteer shift, an orientation will be provided and includes information on one-way traffic patterns, appropriate use of masks and gloves, social distancing, protocols for handwashing, sanitation and use of shared spaces such as break room and restrooms along with directions on their assigned volunteer tasks. Before leaving, each volunteer must check out with the Volunteer Coordinator or Program Coordinator-Free Store and dispose of masks and gloves in the appropriate waste bin.

Safety Protocols

All individuals must adhere to the following safety protocols while at Classroom Central—NO EXCEPTIONS:

  • Those who are sick and/or experiencing symptoms of COVID-19 or are caring for a household member that is sick and/or experiencing symptoms of COVID-19 will not be allowed to enter the facility.
  • Wear masks at all times. If an individual does not have a mask, one will be provided for them. Disposable masks must be placed in a lined trash receptacle when discarded.
  • Regularly wash hands with soap for a minimum of 20 seconds and frequently use hand sanitizer throughout your shift or visit. Classroom Central is equipped with soap, paper towels and hand sanitizer.
  • Maintain at least six feet of distance from others throughout the building at all times. No physical contact such as handshakes, hugs or closed door meetings is allowed.
  • Regularly clean and disinfect frequently touched objects and surfaces you have come into contact with such as workstations, keyboards, telephones, light switches, and doorknobs. Areas such as kitchen and restrooms must be cleaned by individuals after each use. • Avoid using other individuals’ phones and work tools and equipment.
  • Avoid congregating in breakrooms and restrooms.
  • Office coffee and served food will not be provided.
  • Please do not bring food items into the facility to share with others.

As a reminder to everyone, safety protocol signage is posted at all entrances as well as throughout the building.

Maximum Capacity and Gathering/Meeting Spaces

No more than a total of seventeen (17) people may be inside of the facility at any given point in time. Congregating for more than 15 minutes in meeting rooms and public spaces such as conference room, kitchen and restrooms is prohibited.

Each restroom will be limited to one stall with only one person allowed inside of the restroom at any given time. The kitchen will be limited to no more than two (2) people at one time. Only disposable cups, plates and paper products will be provided. Until further notice, the organization will not be providing condiments, eating utensils or shared water dispensers and coffee machines. The Snack Cart will be stocked with water and pre-packed snacks and will be sanitized often.

Routine Sanitation

Each volunteer is responsible for cleaning and sanitizing their own workspaces at the end of their shift. Disinfectant wipes and hand sanitizer will be readily available and accessible throughout the facility.

Individuals that use the copier, fax and postage machines, microwave, kitchen tables and chairs are asked to wipe down using disinfectant after each use. In addition, individuals are expected to sanitize all surfaces within the restrooms to include doorknobs, light switches, faucets, stall and toilet handles after each use utilizing the appropriate supplies provided.

Protocols for Reporting Exposure or Positive COVID-19 Test Result

Volunteers Experiencing Symptoms:

If at any time an individual is experiencing symptoms—even if thought to be due to something unrelated to COVID-19 such as allergies or the common cold—they will be required to stay at home until 14 days after symptoms have passed. If an individual begins to experience symptoms while at work, they will be sent home immediately and required to stay at home until 14 days after symptoms have passed or until cleared by a health care professional.

Volunteers Thought to Have Been Exposed:

Any individual that is thought to have:

  • Come in contact with a person who’s tested positive
  • Been advised by a healthcare provider to quarantine
  • A member of their household that has been told to quarantine

will not be allowed to work onsite at Classroom Central for 14 days after the assumed exposure. If the individual’s assumed exposure has resulted in a COVID-19 test, but results have not been received, the individual must await a negative result before entering the Classroom Central facility.

Volunteers Testing Positive:

Any individual who themselves tests positive for COVID-19, whether or not symptomatic, must immediately contact the Volunteer Coordinator who will then contact the Executive Director. Under no circumstances should an individual who has tested positive for COVID-19 report to work or visit the Classroom Central building. Once communication has been received regarding a positive test result:

  • An interview with the individual who tested positive will be conducted to determine the date of their positive test and the onset of symptoms.
  • Individuals who may have had contact with the affected person within 48 hours of the onset of symptoms will be contacted to advise them of the situation and that they “may have had exposure” to an individual who has a confirmed case of COVID-19. At no time should a representative of Classroom Central share the individual’s name or other details that could impact their privacy rights.
  • The individuals are then asked to self-quarantine for a period of 14 days from the date of their potential exposure and may be required to have a negative test result(s) prior to returning to work in addition to the quarantine period.

In this instance, Classroom Central may temporarily close the facility until a deep cleaning can occur. The CDC recommends cleaning if the individual testing positive for COVID-19 has been inside of the facility in the past seven (7) or fewer days. It is also advised that a waiting period of 24 hours take place before cleaning occurs.

Thank you for your flexibility!

Please know that the guidance from the CDC and other government agencies is constantly updating. Classroom Central will continue to monitor for guidance, update our plans and processes as necessary and communicate all relevant changes to you. Please know how truly grateful we are to you for providing us with the gift of your time!
